Creating Allocation

Create Allocation Example
To create allocation you must first specify a date range, the weekdays and roomtype.

Step 1:

  • We want to create allocation from the 7th of april to the 26th of april.
  • We only want to create allocation on monday, Wednesday, Friday and Saturday.
  • We want to create allocation in the '8 bedded dorm'.

    Now its time to add some beds.

  • We want to add 6 beds to our 8 bedded dorm.

    You can ignore the price, LOS (Length of Stay) and Release Period fields. New beds are created with default values:

  • The default price is specified in 'Setup Hostel->Rooms->Edit'.
  • The default LOS and Release period settings are set in 'Setup Hostel->General'.

    Now lets see what happens when we click on 'Add'

    As you can see 6 beds have been created on monday, wednesday, friday and saturday.
    These beds have the default roomprice, length of stay and release period.

    The weekdays and weekend prices are configured in the roomtype (see screenshot). 6

    In the following example we will change the minimum length of stay for the allocated beds on friday to 2 days.

  • Leave the date range as it is.
  • Change the days to which this change applies to (only friday)

    Select the length of stay and click on 'Apply'. 8

    Now lets see what happened.

    Now lets remove some allocation. We will remove 2 beds on friday and saturday

  • Change the days to which this change applies to (friday and saturday)
  • Leave the date range as it is.

    Click on 'Remove'.

    Changing the price of a room is just as simple.
    In our next example we will change the price of the beds on wednesday to € 22,50.

  • Change the days to which this change applies to (wednesday)
  • Leave the date range as it is.

    Change the price to € 22,50.

    Click on 'Apply'.

    You can always reset the price to the default room price.

  • Change the days as it is.
  • Leave the date range as it is.

    Select the checkbox next to 'reset to default roomprice'.

    The price (22.50 euro) is ignored when you reset the price to the default price.

    Click on 'Apply'.

    As you can see, the price has been reset to € 25.00 on wednesday.
    If you would have reset the price on saturday it would have been set to € 28.00.

    The last example shows a quick way to add/remove allocation.

  • Click the 'arrow up' to add one bed.
  • Click the 'arrow down' to remove one bed.

    General things to know about managing allocation:

  • If there are beds already allocated for a day, adding beds uses the same price, los and release.
  • If there are no beds allocated, adding beds uses the default price, los and release.
  • Released and booked beds cannot be removed. They are used to create allocation reports.
  • green is a Free Bed.
  • red is a Booked Bed.
  • yellow is a Released Bed.
